Position Summary

We are looking for a Billing Analyst to join our team. In this position, you will play a role in managing the financial operations for several of our largest, well-known clients while also guiding and supporting the teams on the monthly billing process. This role is also responsible for the management of billing and adherence to timely clearance and approval of payments of Agency media activity, as well as all necessary production fee and WIP billings. This is a highly visible position, as you will play an integral role in both the finance team, as well as the client team. 

Key Responsibilities

  • Oversight of the Estimate and Reconciliation billing process working with the internal client team, Shared Services, Finance and Clients 
  • Compile, consolidate and provide Budget vs. Billing analyses monthly 
  • Preparation of accruals and billing upload files monthly 
  • Reconcile media invoices to internal jobs 
  • Create Billing Budget Summaries from Media Authorizations provided by internal teams 
  • Serve as primary contact with shared services/client accounting team 
  • Review aging report monthly and coordinate with client lead and internal accounting team on client collections and past due invoices 
  • Maintenance of all production billing worksheets (fees/travel)
  • Pre-audit production vendor invoices for validity/approvals 
  • Discrepancy resolution with vendors and planners 
  • Ensure all client production jobs are properly set up and in line with client requirements 
  • Manages Inter-Company/Inter-Office transfers 
  • Manages timesheet submission compliance 
  • Facilitate vendor requests for Accounts Payables information 
  • Process and code invoices as necessary 
  • Ad hoc financial operations projects as necessary 

Desired Skills & Experience

  • 1-2 years' experience in a Billing/Finance position 
  • Strong skills in Excel (v-lookups, pivot tables) required 
  • Proven ability to develop and maintain strong professional relationships with clients, colleagues and vendors 
  • Strong knowledge with media/advertising billing a plus 
  • Mediaocean and SAP experience preferred
