Position Summary

Integral to the smooth running of the Client Media account, the Team Coordinator will act as the glue that holds all account workstreams together, responsible for co-ordinating, managing, and tracking team outputs and developing effective ways of working between IPG and The Client teams.

This role is a unique opportunity for an ambitious candidate to coordinate and manage the dedicated IPG team created for The Client  - Team Rufus. 

Reporting to the Media Operation Lead you will support in developing our overall ways of working and project management for Team Rufus, looking at how we prioritise work and deliverables, working closely alongside the PM lead at The Client


Key Responsibilities

Key responsibilities will include managing key meetings alongside co-ordinating the prioritisation of work-streams across the Global team.

In addition, the role will support core team members including Global Team Rufus Leadership, Strategy, Operations & Digital function leads. Areas of focus would include organising and owning shared spaces, such as SharePoint & Teams etc, organising and scheduling internal squads, tracking the delivery of outputs and support on key event planning. 

The role is ideal for someone who is eager to have senior agency leadership exposure, be integrated with different business units across IPG, and collaborate directly with The Client’s media team.
The ideal candidate will be able to quickly build excellent relationships, comfortable handling daily tracking and reporting of project progress with a keen eye for detail and a natural ‘problem-solver’.

We are also looking for someone who has an ambitious and proactive mindset to get involved in the broader agency culture as well as building Initiative’s reputation in the wider industry

Responsibilities
  • Manage inputs for status meetings and coordinating prioritisation of work-streams (allocation of resources) 
  • Schedule key client meetings: Own major meetings + agendas 
  • Organise & Own: Shared spaces including SharePoint/ folders/ teams groups) 
  • Consolidate reporting across all workstreams for weekly leadership report
  • Support the Media Operation Lead and PM lead at The Client on developing our ways of working and broader project management solutions
  • Support Team Rufus Global Leadership, Strategy, Operations & Digital function leads in the prioritisation of work, managing squads and tracking delivery of outputs
  • Support on keeping key docInitiativeents up to date including media playbook, ways of working and Operations handbook
  • Event planning & support – including conferences/off-sites


Desired Skills & Experience

  • Previous team coordination, team management, PA, or project management experience within media/advertising  background is highly desirable (other industries are welcome)
  • The ability to thrive under pressure and juggle multiple tasks at the same time
  • A passion to always deliver the very best, individually and as part of a team
  • A proactive, rather than a reactive mindset, with a keen eye for detail and a natural ‘problem-solver’
  • Strong communication skills, particularly in the post-Covid virtual word 
  • Personable and able to build relationships fast, particularly with senior leadership members
  • Previous experience working with Asana or another PM software  is a plus but not a necessity
