Position Summary

The Associate Director Project Manager role within Initiative requires an experienced, proactive, and diplomatic professional who is naturally curious, and not afraid to question and constructively challenge both clients and internal team members. The Project Manager is a key position within the account team and works with the Client Account Manager to support the team as they quickly work to deliver client-facing projects.

This person should have experience working with and manipulating data for project reporting purposes, have a keen eye for untangling complex dependencies, possess strong leadership and communication skills, and works well within a collaborative team environment. 

Key Responsibilities

  • Work with the PM and Operations Director in fine tuning existing processes and templates, as well as contributing to new process development, on an ad hoc basis.
  • Create and maintain status reporting dashboards (along with other project/account documentation) for both internal and client teams; leads internal and client status meetings on a weekly basis. 
  • Work with the Client Account Manager in managing a client-facing account team while effectively communicating client goals, managing client expectations, managing workloads and timesheets, and managing risks/issues. 
  • Facilitate effective communication between the internal team, agency partners, and clients.
  • Function as a key cornerstone of the project team by keeping up-to-date with all current projects and news, ensuring all team members have the information necessary to develop great work.
  • Provides escalation of challenges to ensure adherence to project timelines.
  • Delegate tasks on projects to employees best positioned to complete them.
  • Streamline communication between internal team members.
  • Support teams with set up, integration, and maintenance of projects and campaigns within Smartsheets; develop and maintain detailed project plans and timelines.
  • Assist in setting up new internal and client team members in project management systems; maintain close attention to permissions granted.
  • Customize solutions & templates to align with client specific requests.
  • Provide 1:1 sessions with internal or client team members who need additional training or assistance on Smartsheets, Account Processes, or Project Management topics.

Desired Skills & Experience

  • Extensive Project Management experience, preferably in a media environment, biotechnology environment, or consulting /client-services environment; process improvement/engineering experience a plus.
  • Qualifications in a Business or STEM Field, or work experience equivalent
